Admin to Project Manager

This is one of the most achievable career changes in the UK, and it is routinely undersold by the people making it. Administrators tend to describe themselves as supporting projects. In practice a great many of them are running the parts of projects that actually determine whether anything gets delivered.

Three things. Planning — building a schedule with dependencies and a critical path, rather than maintaining someone else's. Risk management as a discipline: identifying, scoring, and actively mitigating rather than logging. And budget ownership — forecasting, tracking, and explaining variance.

The subtler gap is accountability. Support roles carry responsibility for tasks; project management carries responsibility for outcomes, including outcomes determined by people who ignored you. That shift is the actual step, and it is more psychological than technical.

The route people actually take

  1. Get named on a project internally. Ask. Most organisations have more projects than people willing to administer them, and it converts "I could do this" into "I have done this".
  2. PRINCE2 Foundation, or an Agile qualification if you are heading toward digital.
  3. Apply for Project Support Officer or Coordinator roles, not Project Manager. This is the rung that exists for exactly this move, and skipping it is the most common reason people conclude the change is impossible.
  4. Take on one thing with a deadline and a budget, however small, and see it through to a documented close. One completed thing beats three years of support on a CV.
  5. Consider a PMO role. Project management offices hire from administration frequently and are a fast route to seeing how many projects run at once.

How the CV has to change

Administrative CVs list duties, and duties are invisible to a project employer. The fix is to describe the same work as delivery.

"Provided administrative support to the operations team" is a duty. "Maintained the delivery tracker for a nine-workstream programme, ran the weekly action review, and chased and closed 200-plus actions across four departments — the programme's actions log went from routinely overdue to consistently current" is a project record. Nothing was invented; it was simply described in the language of the field you are entering.

Use the vocabulary deliberately: stakeholders, dependencies, risks, actions, milestones, RAID. Not as decoration — as the accurate names for things you already do.

The honest part

The step down that is not really a step down: Project Support pays similarly to senior admin, and it is worth taking anyway, because it changes what your next job can be. The people who struggle with this move are usually the ones who hold out for a Project Manager title immediately and get filtered out at every application. The people who succeed take the coordinator rung and are project managers within two years.

Is PRINCE2 worth it?
